At Maple Kids, we understand that families are trusting us with personal information about their children. We take that responsibility seriously.

This Privacy Policy explains what information we collect, why we collect it, how we use it and what happens to it after a personalized story is created.

Maple Kids is headquartered in Canada and operates in accordance with applicable Canadian privacy laws.

Who Maple Kids Is For

Maple Kids creates personalized stories for children, but our website and ordering services are intended for parents, legal guardians and other authorized adults.

A child should not create an account, place an order or upload personal information directly to Maple Kids.

By placing an order, the customer confirms that they are the child’s parent or legal guardian, or that they have permission from the child’s parent or legal guardian to provide the information and photograph used for the story.

Information We Collect

We only collect the information needed to create and deliver the personalized story.

We collect the parent or guardian’s email address so that the customer can create an account, receive order updates, access completed stories and communicate with us when support is needed.

To personalize a story, a parent or guardian may provide the child’s first name, age, interests, preferred story details and a photograph of the child.

We do not ask children to provide this information themselves.

We may also receive basic order information, such as the selected story, order number, payment status and purchase date.

Payments are processed through third party payment providers. Maple Kids does not intentionally store complete credit card or debit card numbers on its own servers.

How We Use a Child’s Photograph

A child’s photograph is uploaded by the parent or guardian and is used only to create the personalized illustrations requested in the order.

The original photograph is used during the story creation process. Once the personalized story has been generated and the photograph is no longer required, the original photograph is deleted from Maple Kids systems.

We do not keep the original photograph in the customer’s account for future orders.

We do not keep the original photograph as part of the completed story record.

We do not use the original photograph for advertising, social media, promotional examples, facial recognition, customer profiling or any purpose unrelated to creating the customer’s order.

We do not sell, rent or trade children’s photographs.

A new photograph must be uploaded by the parent or guardian when it is required for a new order.

Information That Remains in the Customer Account

After the story has been completed, Maple Kids keeps only the information reasonably needed to provide continued access to the purchased product.

This normally includes the parent or guardian’s email address, account login information, basic order records and the final personalized story created for the child.

The completed story may include the child’s first name and personalized illustrations because these are part of the product purchased by the parent or guardian.

The final story remains available through the customer’s protected account so that the parent or guardian can sign in and access it later using their username and password.

The original photograph used to create the story is not retained with the completed story.

How We Use Personal Information

We use personal information to create the requested personalized story, process and confirm the order, provide access to the completed story, manage the customer account, respond to support requests, correct problems with an order, protect the security of our website and meet legal or accounting obligations.

We do not use a child’s personal information for behavioural advertising.

We do not send marketing messages directly to children.

We do not sell personal information belonging to parents, guardians or children.

Parent and Guardian Consent

By uploading a child’s photograph or submitting information about a child, the customer confirms that they are authorized to provide that information.

The customer also gives Maple Kids permission to use the information temporarily for the purpose of creating the requested personalized story.

We will not use the child’s information for a different purpose without asking for additional permission when required.

A parent or guardian may withdraw consent or request deletion of information by contacting Maple Kids. In some cases, withdrawing consent before an order is completed may prevent us from finishing the story.

Service Providers

Maple Kids may use trusted service providers to operate its website, process payments, host customer accounts, deliver emails, maintain security and assist with the technical production of personalized stories.

These providers may receive only the information needed to perform their specific service.

Maple Kids expects service providers to handle personal information securely and not use it for their own advertising or unrelated purposes.

Some service providers may operate outside Canada. When information is processed in another country, it may be subject to the laws of that country.

Automated Story Creation Tools

Maple Kids may use automated technology to help create story text, illustrations, layouts, audio or other personalized elements.

The child’s photograph and story information are provided to these systems only when needed to create the requested order.

The original child photograph is deleted from Maple Kids systems after the story has been generated and the photograph is no longer needed.

Maple Kids does not authorize the use of a child’s photograph for advertising, facial recognition, profiling or unrelated commercial purposes.

The completed story is saved in the parent or guardian’s account so that it remains available after purchase.

How Long We Keep Information

The original child photograph is kept only for the time needed to generate the personalized story. After the story has been generated and the image is no longer needed, the original photograph is deleted from our systems.

The parent or guardian’s email address is kept while the customer account remains active.

The final personalized story is kept in the customer account so that the parent or guardian can continue accessing the purchased product.

Basic transaction and order records may be retained for accounting, tax, fraud prevention, legal and customer support purposes.

A parent or guardian may ask us to delete their account and completed stories, subject to any information that Maple Kids is legally required to retain.

Account Security

Customers are responsible for keeping their username and password private.

Maple Kids uses reasonable technical and organizational safeguards to protect customer accounts and personal information from unauthorized access, loss, misuse or disclosure.

Access to personal information is limited to people and service providers who reasonably need it to operate the service or complete an order.

No online service can guarantee absolute security. Customers should use a strong and unique password and should contact Maple Kids immediately if they believe someone has accessed their account without permission.

Website Information and Cookies

When someone visits the Maple Kids website, limited technical information may be collected automatically. This may include the type of device or browser used, the pages visited, the approximate location based on the internet connection and information needed to protect the website from fraud or misuse.

Maple Kids may use essential cookies to support account login, shopping cart functions, payments, website security and basic site operation.

Optional analytics or marketing cookies will be handled in accordance with applicable consent requirements.

Email Communications

Maple Kids uses the parent or guardian’s email address to provide account access, send order confirmations, deliver service notices and respond to customer support requests.

Marketing messages will only be sent where permitted. Customers may unsubscribe from promotional emails at any time.

Unsubscribing from marketing emails does not prevent Maple Kids from sending essential messages about an account, order, payment or security issue.

Accessing, Correcting or Deleting Information

A parent or guardian may contact Maple Kids to ask what personal information we hold about them or their child.

They may also ask us to correct inaccurate information, delete their account, remove a completed story or explain how personal information has been used.

We may need to confirm the requester’s identity before providing access to an account or deleting information.

Certain transaction records may need to be retained where required for legal, tax, accounting, security or dispute resolution purposes.

Public Use of Stories and Images

Maple Kids will not publicly display a child’s photograph, name, story or personalized illustration without separate permission from the parent or legal guardian.

Purchasing a story does not give Maple Kids permission to publish it as a sample, advertisement, testimonial, social media post or portfolio item.

Any request for promotional use will be presented separately and will be optional.

Privacy and Security Incidents

If Maple Kids becomes aware of an incident involving personal information, we will investigate it and take reasonable steps to secure the affected information.

Where required by law, we will notify affected customers and the appropriate privacy authority.

Changes to This Policy

Maple Kids may update this Privacy Policy when its services, technology or legal obligations change.

The current version will always be posted on this page. The date at the top of the policy will show when it was last updated.

Material changes affecting the use of personal information may be communicated to customers directly or may require new consent.
