This Privacy Policy explains what information we collect, why we collect it, how we use it, how long we retain it, how we protect it, and what happens to it after a personalized storybook is created.
Maple Kids is operated by Maple Kids Story Book Inc., a Canadian company headquartered in Coquitlam, British Columbia. We handle personal information in accordance with applicable Canadian privacy laws.
1. Who Maple Kids Is For
Maple Kids creates personalized storybooks for children, but our website, customer accounts, ordering services, and payment services are intended only for parents, legal guardians, and other authorized adults.
A child must not independently create an account, place an order, upload personal information, submit photographs, or provide payment information directly to Maple Kids.
By creating an account, submitting information, or placing an order, the customer confirms that they are the child’s parent or legal guardian, or that they have valid authorization from the child’s parent or legal guardian to provide the information and photographs used in the personalized storybook.
2. Information We Collect
We collect only the information reasonably needed to create, deliver, support, and maintain access to a personalized storybook.
Information we may collect includes:
- The parent or guardian’s name and email address;
- Account login and authentication information;
- The child’s first name, age, interests, preferred story details, language, family information, and cultural preferences;
- A photograph of the child provided by the parent or guardian;
- Order information, including the selected story, page count, order number, payment status, purchase date, and delivery status;
- Customer support messages, revision requests, deletion requests, and account-related communications; and
- Technical information required to operate, secure, and maintain our website and services.
We do not ask children to provide this information themselves.
Payments are processed through third-party payment providers. Maple Kids does not intentionally store complete credit-card or debit-card numbers on its own servers.
3. How We Use and Delete a Child’s Photograph
A child’s photograph is uploaded by the parent or guardian and used only to create the personalized illustrations requested as part of the customer’s order.
Maple Kids does not use the original photograph for advertising, social media, promotional samples, public display, facial recognition, customer profiling, behavioural advertising, model training, or any unrelated commercial purpose.
Permanent Deletion of the Original Photograph
Once the personalized storybook and its illustrations have been generated, and the original photograph is no longer required for production, Maple Kids permanently deletes the original photograph from its active databases, application storage, and production servers.
The original photograph is not retained in the customer’s account, attached to the completed storybook, stored in the permanent customer record, or saved for future orders.
After deletion, Maple Kids does not retain an accessible copy of the original photograph in its active production database, application storage, or production servers.
If a photograph is needed for a future order, the parent or guardian must upload a new photograph.
The completed storybook may continue to contain personalized illustrations generated from the photograph because those illustrations form part of the purchased product. However, the original photograph itself is not retained.
Maple Kids does not sell, rent, trade, or commercially distribute children’s photographs.
4. Information That Remains in the Customer Account
After a personalized storybook has been completed, Maple Kids retains only the information reasonably required to provide continued access to the purchased product, maintain the customer account, provide support, and meet legal or accounting obligations.
This normally includes:
- The parent or guardian’s email address;
- Account login and authentication information;
- Basic order and transaction records;
- The completed personalized storybook; and
- Customer support and revision records, where applicable.
The completed storybook may include the child’s first name and personalized illustrations because these elements form part of the product purchased by the parent or guardian.
The final storybook remains available through the customer’s protected account so that the parent or guardian can sign in and access the purchased product later.
The original photograph used to generate the storybook is not retained with the completed storybook.
5. How We Use Personal Information
We may use personal information to:
- Create the requested personalized storybook;
- Generate personalized text, illustrations, layouts, or audio;
- Process, confirm, and maintain order records;
- Provide access to completed storybooks;
- Manage customer accounts;
- Respond to customer support requests;
- Correct problems or complete approved revisions;
- Protect the security and integrity of our website;
- Prevent fraud, misuse, and unauthorized activity;
- Maintain required accounting and business records; and
- Comply with applicable legal obligations.
We do not use a child’s personal information for behavioural advertising.
We do not send marketing messages directly to children.
We do not sell personal information belonging to parents, guardians, or children.
6. Parent and Guardian Consent
By uploading a child’s photograph or submitting information relating to a child, the customer confirms that they are legally authorized to provide that information.
The customer gives Maple Kids permission to use and process the submitted information only as reasonably necessary to create, deliver, support, and maintain the requested personalized storybook.
We will not use the child’s information for a materially different purpose without obtaining additional consent where required.
A parent or guardian may withdraw consent or request deletion of information by contacting Maple Kids. Withdrawing consent before an order is completed may prevent us from completing or delivering the storybook.
7. Service Providers
Maple Kids may use trusted third-party service providers to operate its website, host customer accounts and files, process payments, deliver emails, maintain security, provide cloud infrastructure, and assist with the technical production of personalized storybooks.
These service providers receive only the information reasonably necessary to perform their specific services.
Maple Kids expects its service providers to handle personal information securely and not use it for their own advertising, profiling, model training, or unrelated commercial purposes.
Some service providers may operate outside Canada. When personal information is processed in another country, it may be subject to the laws of that country.
8. Automated Story-Creation Tools
Maple Kids may use automated technology to help create story text, illustrations, layouts, audio, and other personalized elements.
The child’s photograph and story information are provided to automated systems only when reasonably necessary to create the requested personalized storybook.
Maple Kids does not authorize the use of the child’s photograph or personal information for advertising, facial recognition, profiling, model training, behavioural targeting, or unrelated commercial purposes.
After the personalized storybook and illustrations have been generated, Maple Kids permanently deletes the original photograph from its active databases, application storage, and production servers.
The original photograph is not retained for future orders and is not kept with the completed storybook.
9. How Long We Keep Information
The original child photograph is retained only for the limited period reasonably required to generate the requested personalized storybook and illustrations.
Once production is complete and the original photograph is no longer required, Maple Kids permanently deletes it from its active databases, application storage, and production servers.
The original photograph is not retained in the customer’s account, stored with the completed storybook, or saved for future orders.
After deletion, Maple Kids does not retain an accessible copy of the original photograph in its active production database, application storage, or production servers.
The parent or guardian’s email address and account information are retained while the customer account remains active.
The completed personalized storybook is retained in the customer account so that the parent or guardian can continue accessing the purchased product.
Basic transaction, payment-status, order, customer support, and business records may be retained for accounting, tax, fraud prevention, security, legal, and dispute-resolution purposes.
A parent or guardian may request deletion of their account and completed storybooks, subject to information that Maple Kids is legally required or reasonably permitted to retain.
10. Account Security
Customers are responsible for keeping their username, password, and other login credentials private.
Maple Kids uses reasonable technical and organizational safeguards to protect customer accounts and personal information from unauthorized access, loss, misuse, alteration, or disclosure.
Access to personal information is limited to people and service providers who reasonably need it to operate the service, support customers, maintain security, or complete an order.
No online service can guarantee absolute security. Customers should use a strong and unique password and contact Maple Kids immediately if they believe their account has been accessed without authorization.
11. Website Information and Cookies
When someone visits the Maple Kids website, limited technical information may be collected automatically. This may include:
- The device and browser used;
- Pages visited and interactions with the website;
- Approximate location based on the internet connection;
- IP address and security-related information; and
- Information needed to operate the website and protect it from fraud, misuse, or technical abuse.
Maple Kids may use essential cookies to support account login, shopping cart functions, payment processing, website security, and basic site operation.
Optional analytics or marketing cookies will be handled in accordance with applicable consent requirements.
12. Email Communications
Maple Kids uses the parent or guardian’s email address to provide account access, send order confirmations, deliver service notices, communicate about payments or security, and respond to customer support requests.
Marketing messages will only be sent where permitted. Customers may unsubscribe from promotional emails at any time.
Unsubscribing from promotional emails does not prevent Maple Kids from sending essential messages relating to an account, order, payment, security issue, or legal notice.
13. Accessing, Correcting, or Deleting Information
A parent or guardian may contact Maple Kids to ask what personal information we hold about them or their child.
They may also ask us to:
- Correct inaccurate information;
- Delete their account;
- Remove a completed personalized storybook;
- Withdraw consent where applicable; or
- Explain how personal information has been used or disclosed.
We may need to confirm the requester’s identity and authority before providing access to information, modifying an account, or deleting information.
Certain transaction records may need to be retained where required or permitted for legal, tax, accounting, security, fraud prevention, or dispute-resolution purposes.
14. Public Use of Stories and Images
Maple Kids will not publicly display a child’s photograph, name, storybook, or personalized illustration without separate permission from the parent or legal guardian.
Purchasing a storybook does not give Maple Kids permission to publish it as a sample, advertisement, testimonial, social-media post, case study, or portfolio item.
Any request for promotional use will be presented separately and will be optional.
15. Privacy and Security Incidents
If Maple Kids becomes aware of an incident involving personal information, we will investigate it and take reasonable steps to secure the affected systems and information.
Where required by law, Maple Kids will notify affected customers and the appropriate privacy authority.
16. Changes to This Policy
Maple Kids may update this Privacy Policy when its services, technology, operations, or legal obligations change.
The current version will be posted on this page. The date at the top of the policy will show when it was last updated.
Material changes affecting the collection, use, or disclosure of personal information may be communicated directly to customers or may require renewed consent.
